Participation Guidelines

At ICETBDT, we treat both in-person and online attendees equally, and we ensure that everyone feels engaged and participate completely. We ensure facilitate interaction and a seamless experience for both types of audiences.

Presentation

Format

There are two presentation formats
• Oral Presentation (In-person)
• Oral Presentation (Remote)

Time Management

Stick to the allocated time. The ICETBDT conference organizer appreciate punctuality.
>> Duration of presentation: 10 minutes
>> QA: 5 minutes


Presentation Content Format

Points to be considered while preparing the presentation slides.
>> It is generally distracting to the audience to have too many slides in a short presentation
>> Do not put too much text on a slide – you want the audience to listen to you and not to be reading your slides!

Instructions for Presenters (In-Person and Online)

• Adhere to time limits for presentations and questions.
• Maximum 10 slides are recommended (Plan about 1 minute per slide).
• Download and use the PPT template, and follow the instructions provided in the PPT.
• Submit your presentation PPT at least one day in advance to conference@icetbdt.no. The conference technical committee will give you necessary guidance for the improvement, helping you to fix logos, contents, alignments etc.




Instructions for In-Person and Online Participants

Hybrid Event

Transition between in-person and virtual delivery

>> Separate moderators will be there for both in-person and virtual sessions; they coordinate and deliver the event as a single session.

>> We strongly recommend In-person attendee to use the Zoom app for networking and interaction with the online attendees.

  • The ICETBDT organizer will provide WiFi connection to all onsite participants throughout the conference and technical program.
  • Bring your laptop to the Conference room, so that you can directly connect with online participants.
  • We request all In-person participants to join the zoom from the physical conference room. This is for the better interaction with online participants, to utilize the breakout rooms to connect with online participants and also to be part of the Feedback, Chat and networking.
  • Always use headphone and be muted when you are not speaking. This is to avoid echo when multiple people use zoom in the same room.

  • Use the Zoom breakout room for a discussion and chat with a person. The breakout rooms will be open in a regular interval/ during coffee breaks/ networking session period.
  • Follow up with individuals you met at the conference.
  • Share what you learned with colleagues or through social media.
  • Share your awards and certificates to your professional networks.
  • Analyze your conference experience and identify areas for future engagement.

Attend our zoom testing day, which will be held a week before the event. We invite all in-person and online attendees together via a Zoom meeting, use this chance to test your zoom background (we will provide the ICETBDT Zoom Background), zoom breakout rooms, test mic, video, sharing PPT and some interaction. We will inform the meeting date/time and other guidelines to all the registered people.

We collect feedback from both in-person and virtual attendees to understand their experiences and identify areas for improvement.
  • All ICETBDT Conference participants will receive a Feedback link/ QR Code during and end of the conference sessions.
  • You can give your valuable feedback on Keynote speech, Technical Program, Presentations, Networking Session and give your overall experience.
  • Feedback will help us to improve the technical program and conference. Besides that, online feedback will ensure your active participation on the event, as this is the evidence of your participation and engagement.
Guidelines for all participants (Hybrid)

Zoom Meeting

• Ensure a reliable internet connection – strongly recommend a wired network for online participants.
• Ensure good lighting and sit in a quiet environment.
• Use the Zoom Virtual Background – you can download it from the ‘Downloads’ page.
• Familiarize yourself with the presentation platform (Zoom) and test your equipment (Audio/Video).
• Use a good quality microphone and ensure that your voice is clear and audible for both virtual and in-person attendees.
• Always turn off your video when you are not presenting.
• Mute when not speaking – Use Headphones.
• Join a few minutes before the scheduled start time to address any technical issues and settle in.
• If you have a question or comment, use the hand raise feature to indicate you’d like to speak.
• Use the chat feature for questions. Monitor the information provided by zoom chat.

Preparation for the Conference Tour
  • If you wish to become part of the Conference Tour and In-person participation, do the preparations early including travel arrangements. This will save lot of travel costs.
  • Visa is not required if you are already in one of the Schengen countries.
  • If you travel from outside Schengen zone, we strongly recommend you to apply for the visa at least by the first week of November 2025.
